Retreat Guest Terms & Conditions

By paying the £250 deposit, you (“the Guest”) agree to the following Terms & Conditions set out by 360 Events & Retreats Ltd (“the Organiser”).

1. Booking & Deposit

A £250 non-refundable deposit is required to secure your place on the retreat.
Your booking is only confirmed once the deposit has been received.
The £250 deposit is strictly non-refundable under all circumstances.

2. Payment Options & Balance

Pay in Full:

Guests wishing to pay in full must email scarlett@360pilatescafe.com to request bank details after paying the deposit.
Guests who pay the full balance in one payment will receive a complimentary 30-minute 1:1 Pilates session (to be scheduled at a mutually agreed time during the retreat).

Instalments:

If paying by instalments, payments must be made in equal instalments via a standing order. Bank details will be sent within a week after paying the deposit in a welcome pack.
The full retreat balance must be paid no later than 1 April 2026 (30 days before the retreat start date).

Failure to complete payment by this date may result in cancellation of the booking and forfeiture of the deposit.

3. Cancellation & Refund Policy

The retreat is non-refundable.
If you must cancel your place, no refund will be issued unless your space is successfully filled by another guest.
If a replacement guest is found and fully paid for, you will be refunded all payments made minus the £250 non-refundable deposit.
The Organiser is under no obligation to find a replacement guest, but will make reasonable efforts to do so.

4. Cancellation by Organiser

In the unlikely event the retreat is cancelled by the Organiser, all payments made (excluding the deposit) will be refunded.
The Organiser is not responsible for additional expenses incurred, including travel or insurance.

5. Retreat Dates & Attendance

The retreat takes place from 1–4 May 2026.
No refunds will be given for late arrival, early departure, missed sessions, or non-attendance.

6. Accommodation & House Rules

Accommodation is provided by mindful stays ltd and is subject to strict house rules.
Guests agree to comply with all property rules and understand that the Organiser is contractually responsible for the property.
Any breach of house rules may result in immediate removal from the retreat without refund.

This includes (but is not limited to):

No parties or excessive noise
No stainable food, drink, or footwear upstairs or in the yoga studio (sealed water bottles only)
Yoga and meditation equipment must remain in the studio
Hot tub and sauna use only in accordance with property rules and before 10pm

Any damage, loss, or breach caused by a guest may result in additional charges.

7. Health, Fitness & Participation

Pilates, wellness sessions, sauna, and hot tub use involve physical activity and potential risk.
Guests confirm they are medically fit to participate and do so at their own risk.
Any injuries, medical conditions, or pregnancy must be disclosed to the Organiser in advance.

8. Liability

The Organiser accepts no responsibility for injury, illness, loss, or damage during the retreat, except where required by law.
Guests are responsible for their own belongings at all times.

10. Travel, Communication & Group Chat

Guests are responsible for arranging their own travel.
A private group chat will be created prior to the retreat for:
- Important retreat information
- Schedule updates
- Optional car sharing coordination

11. Photography, Filming & Social Media

This retreat will be photographed and/or filmed for promotional and social media purposes.
By booking, you confirm that you are comfortable appearing on social media and promotional content.
If you have specific concerns, these must be raised in writing prior to booking.

12. Acceptance of Terms

Payment of the £250 deposit confirms that you have read, understood, and agreed to these Terms & Conditions in full.
